Leisure Club Memberships Terms
ADULT MEMBERSHIP
Application for anyone over the age of 18 years old includes use of swimming pools and fitness suite for available sessions during opening times. Access to the fitness suite is only permitted on successful completion of Exercise Readiness Questionnaire and induction (optional). Adult members are also welcome to access other onsite facilities including bars, restaurants, café, takeaway, shop, soft play and evening entertainment.Adults are responsible for any Young Adult, Junior and Infant members listed on their membership. The same parent/guardian shall be responsible for
ensuring children under 16 are accompanied whilst on site, that club rules are adhered to and that their membership fees are paid.
YOUNG ADULT (16-17 YEARS), JUNIOR (4-15 YEARS) AND INFANT (UNDER 4) MEMBERSHIP
Young Adult, Junior and Infant members must have at least one parent or guardian as an active adult member. Members under 16 years of age must be accompanied by an adult member at all times whilst on-site. Children under 14 must be accompanied into the water by an member ages 16 year+ at all times, with a maximum ratio of 1 adult to 2 children. This is for health and safety purposes and failure to do so could result in your membership being terminated. Young Adult membership includes use of swimming pools and fitness suite for available sessions during opening times. Access to the fitness suite is only permitted on successful completion of Exercise Readiness Questionnaire and induction (optional). Junior Membership is swim only. Children under 16 are not permitted to use/enter the Fitness Suite at any time.Membership charges do not apply for children aged 3 and under and cards are not issued. (Birth certificate/passport maybe required as proof of age). A maximum of 2 children aged 3 and under are permitted per adult membership, these must be listed under adult member details. Our soft play is suitable for children aged 8 and under, and children using this facility must be supervised at all times. Where applicable, swim nappies must be worn. Cleaning charges of £75 may apply if a child under your care soils the water to cover cleaning costs and pool closure. Additional charges will apply to other bookable on-site activities, discounts may not apply to swimming lessons.
TERM TIME ONLY ANNUAL MEMBERSHIP
Term Time only memberships are available for 12 months only. With this membership, access to the park and facilities is not permitted at any time during the Easter, May Half Term, Summer and October Half Term school holidays. Use is still permitted during the Christmas Break and February Half Term. Dates will vary annually, please see Reception for current dates. This membership can only be taken out on inception or when renewing.
FEES & CHARGES
All Membership fees are payable up front at the start of the membership term. Membership fees include use of indoor swimming pool, fitness suite (Ages16+ only, subject to successful completion of Exercise Readiness Questionnaire), outdoor swimming pool (May-September), soft play, bar, restaurant, café, takeaway and shop (Feb-Mid Dec). Additional charges will apply for other bookable activities or studio sessions. Members will be entitled to a 10% discount (online discount codes will be provided annually). A 10% discount is available for Seniors (65 years +), NHS, Emergency Services and Military personnel. Discount applies to the individuals/joint membership only, on presentation of a valid ID at time of purchase.
RENEWALS
Memberships will not be automatically renewed. A renewal email will be sent approximately 1 month prior to expiration. Please contact us as soon as possible to arrange renewal payments where applicable to minimise interruption to membership. From 1 February-31 August, 3 month membership renewals are permitted for active memberships, when renewed before the expiry date only. New 3 month membership are not available between these dates.
CANCELLATION
New members will have a 14-day cooling off period. If you change your mind about your membership within this time, we will issue a refund, minus a £45 administration fee. After 14 days, should you wish to cancel before the end of your agreed membership term for any reason, we will require a minimum of one calendar months’ notice in writing (letter or email). Membership fees will be refunded pro rata from the end of your notice period, minus a £45 administration fee. For Joint memberships, if one member requests an early cancellation, fees for the remaining membership will be recalculated to single membership for the full term, with the difference refunded pro rata from the end of your notice period, minus a £45 administration fee. Refunds can only be made using the same means of payment used for the initial transaction.
FREEZING
3-month memberships cannot be frozen. If required, 6 and 12 month membership can be frozen for one calendar month, once per membership payment term. If due to medical reasons a longer period is required, this will be assessed on a individual basis. To freeze your membership, please email instruction of this to [email protected]. We will email to confirm this has been actioned and provide a new expiry date. If you have not received a response within 3 working days, please contact us again to ensure we have received your request. Backdated freezes will not be permitted. The membership expiry date will be extended to include the month frozen. Extensions to the original membership term will not be eligible for any further freezes, e.g. school holiday freeze. A member who has “frozen” their membership will not be allowed access to the park or facilities.
BREACH
This agreement can be cancelled if we are in breach of contract
including if we do not provide facilities or services, you may reasonably expect and we have fallen well below that standard. Whitehill County Park may
terminate your membership without any refund, refuse you entry to the park and facilities, or eject you, should you commit a breach of the park or
membership rules, or any other serious misconduct.
MEMBERSHIP CARDS
A Membership photo card will be issued at the start of membership. Cards must be presented at Reception be swiped/tapped on arrival to all sessions and at the till to obtain discounts. Discounts/entry may be refused if a valid membership card is not presented. Entry wristbands are issued for each session to provide access to the pool, fitness suite and changing rooms. These will be valid for entry to one session only and must be returned on departure. Membership/discounts are only valid for the named/pictured member and cannot be used by anyone else. When swiping/tapping into the Leisure Club, your name and photo will appear on our screen. This ensures only members with valid memberships are accessing the facilities/benefits and prevents non-members from using someone else’s card. If you give your membership card/entry wristbands to another person, we may terminate your membership without any refund.
LOST, STOLEN OR DAMAGED MEMBERSHIP CARDS
Please report any lost, stolen or damaged card to our reception team as soon as possible. Lost cards will be cancelled, and a replacement issued. A £5 fee will apply for a replacement.
PRE-BOOKING SWIM & FITNESS SESSIONS
The capacity for the swimming pool and fitness suite is limited for your comfort, and to avoid any disappointment we strongly recommend calling to check/book available session times online before arriving to the park. Indoor Swim and Fitness Sessions can be pre-booked online using the ‘Membership/Family Reward Card’ tickets on our website whitehill-park.digitickets.co.uk/tickets. Anyone booking sessions using a ‘Membership/Family Reward Card’ ticket, must present their membership card on arrival for the booked session. Failure to present a valid card may result in a refusal of entry. Please be aware that the facilities will be much busier during school holidays, and we cannot guarantee the availability places, times, sun loungers. Indoor swimming sessions are available to book one day in advance. If you create an online account, on our digitickets booking page, you will be able to see a record of all your booked sessions and events, as well as having the option to amend/reschedule booked session times, subject to availability, up to one hour before the session start time.
CANCELLATION OF SESSIONS
For the benefit of other members and our holiday guests, if you are unable to attend a pre-booked swim or fitness session, please either amend your booking through your online account or contact Reception on 01803 782338 to cancel as soon as possible to allow places to be re-issued. Where possible, please arrive promptly for any booked sessions, especially during school holidays. If permitting entry after the booked start time will exceed our maximum bather load/fitness suite capacity, entry maybe refused or session time reduced. Consistent non-arrivals for pre-booked session may result in additional penalty charges. Due to unforeseen circumstances, e.g. additional cleaning, it may be necessary for Whitehill Country Park to change or even cancel sessions/events at short notice. However, we will endeavour to provide as much notice as possible.
FITNESS SUITE RULES
- Access to the fitness suite will only be activated on the successful completion of Exercise Readiness Questionnaire.
- It is advised that all members wishing to use the fitness suite should undergo an Induction with our Leisure Team
- Members who have any reservations as to their physical condition are advised to have a medical check-up before embarking on any exercise.
- Members are advised not to undertake strenuous physical activity for which they may be medically unfit.
- Children under 16 are not permitted within the fitness suite at any time.
- All members use the equipment and facilities entirely at their own risk and the club does not accept responsibility for any harm or injury to any members however caused.
- Appropriate clothing and shoes must be worn at all times.
- Please replace any weights and wipe down all gym equipment after use.
- Please note that our reception staff are not fitness instructors and are not able to offer any fitness advice. However, they are first aid trained should you require medical assistance.
- Please report any incidents, observations or maintenance issues to Reception immediately.
- We would ask members to where possible, wear non-court marking shoes in the Fitness suite.
INDOOR SWIMMING POOL RULES
- Members and their guests use the swimming pool at thier own risk and
Whitehill Country Park does not accept any responsibility for any harm or injury to any member or guest however caused.
- No diving, jumping, running or potentially dangerous activity is allowed.
- Please be aware, the water has a constant depth of 1.4m
- Children under 16 must be accompanied to the facility by an adult.
- Children under 14 must be accompanied in the water by an adult at all times, with a maximum ratio of 1 adult to 2 children.
- Please shower before entering the pool.
- Outdoor footwear must be removed before entering the changing rooms/pool area.
- Members and guests must wear appropriate swim wear at all times.
- No inflatables, balls, snorkels, flippers, water guns are permitted in the swimming pool area other than those provided by the park.
- Buoyancy aids are permitted.
- Where applicable, swim nappies must be worn.
- Do not enter the water if you are feeling unwell. If any member/guests vomits or soils within the pool a £75 charge may be enforced for cleaning.
- No glass or food is permitted on the poolside.
OUTDOOR POOL RULES
- Children under 16 must be accompanied to the facility by an adult.
- Children aged 8 and under or non-swimmers under 14 must have an adult present in the water at all times, with a maximum ratio of 1 adult to 2 children.
- Reserving of sun loungers is not permitted.
- Maximum of 8 people in the poolside spa at any time, children under 14 must be accompanied in the water.
- You are welcome to use inflatable rings in the outdoor pool. Bodyboards, large inflatables, water guns, snorkels etc are not permitted.
- Dogs (except Guide/register support dogs) are not permitted on the poolside.
- Smoking/vaping is not permitted on the poolside.
- Where applicable, swim nappies must be worn.
- Do not enter the water if you are feeling unwell. If any member/guests vomits or soils within the pool a £75 charge may be enforced for cleaning.
- No glass is permitted on the poolside.
CHANGING ROOMS
- Our changing rooms are unisex, and we kindly ask that all users change in the cubicles provided, and not in the communal areas.
- Please always use the lockers provided and do not leave clothing or valuables in the cubicle. Whitehill Country Park cannot accept liability for loss or damage to any property left on this area whether stored in lockers or otherwise.
- Lockers are to be used for personal belonging whilst using the facilities and all items must remove from the locker when you leave the facility. If necessary, leisure staff will remove all contents and hold items within lost property.
- Take care when operating the swimming costume drier, do not let children use this.
- Please dispose of all litter in the bins provided.
- Towels are available to hire from reception. There is a charge for the hire of a towel, and it must be returned on departure.
GUESTS & VISITORS
- Adult Members (18+) will be issued with a limited number of complimentary guest passes. (1 pass for 3 month membership/2 passes for 6 month membership/4 guest for 12 month membership). Each pass is valid for a 1-hour indoor swimming session and must be presented on arrival. All guests must be pre-booked and signed in. 1 guest per session, guest passes cannot be used in school holidays.
- Guest passes are only valid with active membership and all guests must be accompanied by a member guests at all times. Members must ensure that their guests abide by the rules of the club and accept responsibility for their guest’s behaviour. The club reserves the right to refuse any person admission as a guest to the club without reason.
-Guest passes cannot be used to access the fitness suite or outdoor pool.
BEHAVIOUR AND DRESS
- Please behave appropriately when on site and treat all equipment, staff and fellow users must with due care and respect.
- Do not use foul, loud, or abusive language; do not act in a threatening manner. Whitehill County Park will not tolerate violent or aggressive behaviour. Whitehill County Park may terminate your membership or may refuse you entry to the park and facilities, or eject you, should you commit a breach of the park rules, or any other serious misconduct.
- All complaints should be communicated to leisure management, or in writing by post or email to the Leisure Manager.
- Please dress in appropriate clothing, footwear and swimwear whilst on site and using the facilities. Guidance as to suitable attire may be obtained from the Leisure/Duty Manager who may, at their discretion, require you to leave club premises or part of the club premises, if you are not dressed appropriately.
- Persons who appear to be under the influence of drink or drugs will be asked to leave site. Any person whose behaviour is deemed inappropriate by staff, will be requested to leave the site. Any incidents of this nature should be reported to a member of staff immediately.
CAR PARK
- The car park is available for members, guests, visitors, and employees of Whitehill Country Park whilst they are using the park. You may not leave your car in our car parks at any other time. No unauthorised parking is permitted. Vehicle registrations will be added to you membership details.
- Cars parked on site and all the contents in them are left at the owner’s risk and the club will not accept any liability for loss or damage in respect thereof.
- The park cannot accept any liability for any accident to any member or guest that may occur on the premises or within the grounds of the club other than liability, which may arise from negligence of the park, its staff or its agents.
- Any member or guest who suffers an accident on the premises or in the park grounds must report the accident, and the circumstances under which it occurred, to the Duty Manager immediately following the accident.
GENERAL
- Members and guests who have any reservations as to their physical condition are advised to have a medical check-up before embarking on any exercise. Members are advised not to undertake strenuous physical activity for which they may be medically unfit. All members wishing to use the Fitness suite must complete an Exercise Readiness Questionnaire before being permitted access.
- It is advised that all members wishing to use the fitness suite should undergo an induction with our Leisure Team.
- All members and guest use the equipment and facilities entirely at their own risk and the park do not accept responsibility for any harm or injury to any member or guest however caused.
- Appropriate footwear and clothing must be worn at all times whilst using the facilities.
- There is CCTV in operation within the fitness suite, pool and other public areas of the park. This will be monitored to safeguard our members.
- You must not consume any food or drink inside our bar/facilities that you have not bought from within the park.
- All lost property found on the premises should be handed into the club reception. Items will be kept for 14 days and then donated to local charity.
- Use of photographic equipment is not allowed without approval from the Leisure Manager or Park Director. We reserve the right to use any individual or group photographs or movie shots for press or promotional purposes. Where possible we will ask you to sign a use of image form.
- You are not permitted to bring pets (other than registered guide/support dogs) on to the indoor swimming pool, fitness suite, outdoor pool, changing area, shop or café. They are welcome on site and in Reception and the dog-friendly sections of the Hayloft and Granary Bar. Please do not leave pets in your vehicle.
- The club reserves the right at any time to, and without notice, to remove
facilities for maintenance and refurbishments. For full day closures to the indoor swimming pool or fitness suite, we will compensate members by extending their contracted period by the number of days of closure.
- We reserve the right to reserve pools/facilities for certain periods for private functions, special events and on-site activities. Where possible, we will endeavour to provide a minimum of 24 hours’ notice. Please check daily session times, and whenever possible pre-book sessions online.
- Smoking/vaping is strictly prohibited in all indoor areas and on the outdoor poolside.
- The pools/fitness suite must not be used for coaching/instructing unless prior approval is given by the Leisure Manager or Park Director.
- The club reserves the right to refuse any person admission to the club without reason.
DATA PROTECTION
Information supplied will be stored for the future distribution of our advertising material to you, unless you choose to opt out. If you would prefer not to receive promotional information from us, then please contact us. We will not disclose this information to any person outside of the company without your agreement, other than our agents and contractors for the purpose of your membership, unless we are legally required to do so.
